The short version
This website sets no cookies and does no tracking. We collect your details only when you apply to exhibit or ask to join the couples waitlist, and we use them only for that. We do not sell your data. You can ask us to delete it at any time.
Who we are
The Dorset Wedding Sessions are co-hosted by My Wedding Vibe and Wild Soul Wedding Co. The information described here is looked after by My Wedding Vibe, run by Gemma Hurlstone, a sole trader trading as My Wedding Vibe. For UK data protection law, My Wedding Vibe is the data controller.
- Registered with the Information Commissioner's Office (ICO), registration number ZB858213.
- Postal address: Unit 158814, PO Box 7169, Poole, BH15 9EL, United Kingdom.
- Email: hello@myweddingvibe.com
What we collect, and when
When you apply to exhibit:
- Your business name, your name, email address, phone number, website, Instagram or socials, and your pronouns if you give them.
- Your answers about why you would like to take part and how your business would help make the event inclusive, welcoming and interactive.
- Your supplier category, what your setup involves, whether you want to be indoors or outside, whether you need power, and how many people will be with you.
- Whether you have public liability insurance. You do not need to upload the certificate to apply. If you are accepted we ask for it.
- Any accessibility or setup needs you choose to tell us about. This can include health information, so we only ask for what we need to set up your space properly, and we use it only for that.
- A short bio and photos, if you give them, so we can feature you before the event.
- Which boxes you ticked to confirm you have read the terms and understand that your place is not confirmed until you are accepted and have paid.
- Your application is collected by Tally and stored in our supplier records in Notion.
When you join the couples waitlist:
- You email us, so we hold your email address and whatever you tell us, such as your name. We use it to tell you about tickets and times.
If you tick a mailing list box on the couples form:
- The form has two separate boxes, both unticked to start with. Ticking the My Wedding Vibe box adds your name and email to My Wedding Vibe's mailing list, run by Gemma. Ticking the Wild Soul Wedding Co box adds them to Wild Soul Wedding Co's mailing list, run by Jess under her own privacy policy.
- Each list is separate. Only the person who runs that list gets your details for it, and only because you ticked the box. Every email has an unsubscribe link, and leaving one list does not affect the other or the Sessions updates.
When you email us:
- We hold your email and address so we can reply and keep a record of the conversation.
Why we use it, and our lawful basis
| What we do | Why | Lawful basis under UK GDPR |
|---|---|---|
| Review your exhibitor application and, if accepted, invoice you and set up your space | To provide the space you applied for | Steps before a contract, then performance of a contract |
| Use accessibility or setup needs you tell us about | To set up your space properly | Your explicit consent, which you can withdraw |
| Keep invoices and payment records for exhibitors | Because the law requires us to keep financial records | Legal obligation |
| Feature accepted exhibitors before the event | To promote the day and your business | Legitimate interests |
| Tell couples on the waitlist about tickets and times | Because they asked us to | Consent |
| Add you to the My Wedding Vibe or Wild Soul Wedding Co mailing list | Only if you ticked that box | Consent |
| Reply when you email us | To answer you | Legitimate interests |
Who handles your data
We use a small number of services, and the people running the day, to handle it. They use it only to help us run the Sessions.
- Tally runs our application form and passes what you submit to us. See their privacy policy.
- Notion holds our supplier records and review notes. See their privacy policy.
- Vercel hosts this website. It does not run analytics on it. See their privacy policy.
- Wild Soul Wedding Co co-hosts the Sessions, and its owner helps choose which exhibitors are accepted, so sees applications.
- The people helping run the day, such as the assistant who chases applications and the person who makes social posts for accepted exhibitors, see the details they need for that job.
- The venue may be given exhibitor names and numbers where it needs them, for example for fire safety.
We do not sell your personal data to anyone, and we do not share it for anyone else's marketing.
Where your data is held
Tally, Notion and Vercel may process your data outside the United Kingdom, including in the United States. Their privacy policies, linked above, explain where they hold it and how they protect it.
How long we keep it
- Accessibility or setup needs: deleted within three months of the event.
- Exhibitor applications that are not accepted: deleted within 12 months.
- If you exhibit, invoice and payment records: kept for six years, because the law requires it.
- Couples waitlist emails: kept until three months after the Sessions you asked about, or until you ask us to delete them.
Your rights
Under UK data protection law, you can ask to see the personal data we hold about you, ask us to correct it or delete it, ask us to stop using it or restrict how we use it, withdraw your consent at any time, and ask for a copy to take elsewhere.
To do any of these, email hello@myweddingvibe.com. We will respond within one month. If you are not happy with how we have handled your data, you can complain to the ICO at ico.org.uk, though we would always rather you came to us first.
Cookies
This site sets no cookies and runs no analytics. If that ever changes, we will update this page and ask for your consent first where the law requires it.
Changes to this policy
If we change how we handle your data, we will update this page and the date at the top.
